Conference coaches are usually split in two: a larger main area with seating, some of it grouped around tables, and a lounge behind it. With up to 36 seats, the bulk goes to the main area. Which fit-out suits your appointment depends on what should happen along the way. If you are working and presenting, the technology matters. If it is about a representative arrival and recovery, the VIP fit-out is the better choice.

What it costs to rent a conference coach
We do not quote a flat rate here, because in our view that would be misleading. The cost is made up of distance, duration, date and the vehicle's fit-out. A conference coach sits above a standard coach, because far fewer vehicles of this class are on the market and the journey to the pick-up point is often longer.
With several appointments in one day, it pays to compare the alternative: train tickets for the whole group, rental cars at several locations and the time lost between appointments anyway. We calculate per vehicle, not per head.

Renting a conference coach: questions and answers
How many people fit in a conference coach?
Up to 36 seats, split across a main area with seating and a lounge at the rear. If more people are travelling, we combine two vehicles or switch to a coach with up to 58 seats, though that comes without a working area.
What is the difference from the VIP coach?
The vehicle class is the same, the purpose differs. The conference coach is built for working: workstations, monitors, presentation technology and Wi-Fi with a media input. On the VIP coach the focus is on recovery and a representative arrival. Tell us the occasion and we will suggest the right fit-out.
Can I show a presentation on the move?
Yes. The vehicles have several monitors and a multimedia input you can connect your own laptop to. The exact ports installed vary by vehicle. Tell us in your enquiry what you need and we will check it beforehand and provide a suitable match.
Does the Wi-Fi work along the whole route?
On board there is a dedicated router that connects over the mobile network. In well-covered areas it runs reliably, but in dead spots and long tunnels the connection drops just like on any mobile device. For video calls over long distances, plan for that.
Is catering available on board?
A pantry kitchen with a fully automatic coffee machine, convection oven and running water is part of the fit-out. Drinks and additional catering we arrange in advance. Note your wishes in the enquiry and we will clarify what is possible in the planned vehicle.
How long may the coach drive without a break?
A driver may drive at most nine hours a day, ten twice a week, with a break at the latest after four and a half hours. For tours across several locations we factor this in, and for long stages we plan a second driver.
Is the conference coach suitable for multi-day tours?
Yes, this is one of the most common uses. On roadshows across several cities the vehicle stays with the group, and materials and equipment can remain on board. We organise overnight stays on request.
How far in advance should I enquire?
Earlier than for a standard coach, because far fewer vehicles with a conference fit-out are in service across Europe. The earlier you enquire, the wider the choice. Short-notice requests can often still be solved through the partner network.
Can I have the vehicle branded?
Yes, for roadshows and trade-fair appearances this is often requested. Wrapping needs lead time, because design, production and application all take time. So flag the wish early.
